Professional Behaviour Policy for Clients
This Professional Behaviour Policy outlines the standards of conduct expected from all clients engaging with our virtual assistant services. These guidelines are designed to ensure a productive, respectful, and professional working relationship that benefits both clients and Virtual Assistants.
- Respectful Communication
All communication with Virtual Assistants must be conducted professionally and respectfully. This includes:
- Maintaining courteous and professional language at all times
- Remaining calm and professional, no shouting or raised voices
- Avoiding abusive, discriminatory, or offensive language or behaviour
- Refraining from personal attacks, harassment, or bullying
- Being patient and understanding when challenges or delays occur
- Clear and Timely Communication
Effective collaboration requires clear communication from both parties. Clients are expected to:
- Provide clear, detailed instructions for tasks and projects
- Respond to messages and requests for clarification in a timely manner
- Communicate changes to requirements or deadlines as early as possible
- Use agreed communication channels and respect working hours
- Urgent matters should follow the agreed escalation processes as set out at the start of your relationship with your Virtual Assistant
- Reasonable Expectations and Workload
Clients should maintain realistic expectations regarding task completion and deadlines:
- Set reasonable deadlines that allow for quality work to be completed
- Respect the scope of work agreed upon in contracts and service agreements
- Avoid making contact and demands outside of agreed working hours
- If communication is sent to a Virtual Assistant outside of their agreed working hours, they should not be expected to respond until their next scheduled working period.
- Confidentiality and Data Protection
Clients must respect the privacy and confidentiality of Virtual Assistants:
- Handle any personal information of Virtual Assistants in accordance with data protection regulations
- Do not share personal details of Virtual Assistants with third parties without consent
- Provide the necessary information and access required for tasks in a secure manner
- Professional Boundaries
Maintaining professional boundaries is essential for a healthy working relationship:
- Keep conversations and requests work-related and professional
- Avoid making inappropriate personal requests or comments
- Respect the Virtual Assistant’s right to decline tasks outside their role or expertise
- Do not request services that violate laws, regulations, or ethical standards
- Feedback and Conflict Resolution
Constructive feedback and fair conflict resolution practices are encouraged:
- Provide feedback in a constructive, respectful, and specific manner
- Address concerns or issues directly and professionally with the virtual assistant
- Allow the Virtual Assistant an opportunity to respond and rectify issues
- Escalate any unresolved matters through your Client Success Coach
- Zero Tolerance for Discrimination and Harassment
We have a zero-tolerance policy for any form of discrimination or harassment. Clients must not engage in behaviour that discriminates based on race, gender, age, religion, disability, sexual orientation, or any other protected characteristic. Any violation of this policy may result in immediate termination of services.

Violations of this Professional Behaviour Policy may result in:
- A formal warning and request for behaviour modification
- Temporary suspension of services
- Permanent termination of the client-service provider relationship
- Legal action in cases of severe misconduct or harassment
