This Professional Behaviour Policy establishes the standards of conduct expected from all Virtual Assistants providing services to our clients. These guidelines ensure that we deliver exceptional service while maintaining professionalism, integrity, and respect in all client interactions.
- Professional Communication
All communication with clients must reflect the highest standards of professionalism:
- Use clear, professional, and courteous language in all communications
- Respond to client emails/messages within agreed timeframes
- Proactively communicate any delays, challenges, or issues that may affect work delivery
- Maintain a professional tone regardless of client behaviour or challenging situations
- Use proper grammar, spelling, and formatting in written communications
- Quality and Accuracy of Work
Virtual Assistants are expected to deliver work that meets or exceeds client expectations:
- Complete all assigned tasks to the best of your ability and in accordance with client requirements
- Pay careful attention to detail and accuracy
- Review and check work before submission to minimise errors
- Seek clarification when instructions are unclear rather than making assumptions
- Take ownership of mistakes and work promptly to correct them
- Reliability and Time Management
Dependability is essential to maintaining strong client relationships:
- Honour commitments and meet agreed deadlines consistently
- Manage your workload effectively to ensure timely delivery
- Communicate immediately if you are unable to meet a deadline
- Be punctual for scheduled calls or meetings
- Track and record working hours accurately in Dash using the timer
- Inform a member of the Client Success Team as soon as possible should you become unwell and be unavailable for work
- Ensure your client and a member of the Client Success Team are notified as much in advance as possible of any planned holiday leave
- Confidentiality and Data Security
Protecting client information is a fundamental responsibility:
- Maintain strict confidentiality of all client information, documents, and communications
- Never share, discuss, or disclose client information to third parties without explicit permission
- Use secure methods for storing and transmitting sensitive information
- Follow data protection regulations and client-specific security protocols
- Return or securely delete client materials upon completion of the working relationship
- Professional Boundaries
Maintaining appropriate boundaries ensures a healthy professional relationship:
- Keep all interactions with clients professional and work-focused
- Avoid discussing personal matters unless directly relevant to the work
- Respect client privacy and do not ask inappropriate personal questions
- Decline tasks that are outside your scope of work, illegal, or unethical
- Maintain objectivity and avoid conflicts of interest
- Integrity and Honesty
Trust is the foundation of successful client relationships:
- Be honest about your skills, capabilities, and availability
- Never misrepresent your qualifications or experience
- Acknowledge when a task is beyond your expertise and seek support if needed
- Report hours worked accurately and honestly
- Do not engage in any fraudulent or deceptive practices

- Seek opportunities to develop new skills that benefit client service delivery
- Where possible, please attend the Lunch and Learn and other support sessions provided by Virtalent. We do understand that client work takes priority over these sessions
- Handling Difficult Situations
Professional conduct is especially important when challenges arise:
- Remain calm and professional when dealing with challenging clients or situations
- Address concerns or complaints constructively and work towards resolution
- Escalate serious issues or conflicts to your Client Success Coach rather than engaging in arguments
- Never respond to unprofessional behaviour with unprofessional conduct
- Document significant issues or concerns for your records
- Should you wish to leave a client’s account, always approach the Client Success Team to discuss this initially, before sharing your plans with the client
- Use of Company Resources and Platforms
When using company-provided tools and platforms:
- Use all systems, tools, and platforms responsibly and in accordance with their intended purpose
- Protect login credentials and do not share access with unauthorised individuals
- Report any technical issues, security concerns, or system vulnerabilities immediately
- Do not use company resources for personal projects or gain
- Policy Violations
Violations of this Professional Behaviour Policy may result in:
- Verbal or written warnings
- Feedback and coaching to ensure best practices are understood
- Temporary suspension from client assignments
- Legal action in cases of serious misconduct, fraud, or breach of confidentiality
